Sales Quotation

The sales quotation in the inventory lists and defines all the sales quotations. You can add, edit, delete, or print the sales quotations.

 

Adding a New Sales Quotation

You can add items to a sales quotation through two different options.

Option-1: Direct Addition of Items:

To add a new sales quotation, go to Inventory > Sales > Sales Quotation, the sales quotation page is displayed.

Click on the Manage icon at the top of the page.

Quotation Number: This field is auto-generated by the system.

Date: This field sets the date of the sales quotation.

Valid Upto: This field sets the validity of the sales quotation until the mentioned date.

Salesman: This field allows the selection of the salesman’s code from the drop-down list.

Salesman Name: This field is auto-fetched by the system.

Warehouse: This field allows the selection of the warehouse from the drop-down list. In case the warehouse is linked with the salesman, it will be auto-fetched.

Warehouse Name: This field is also auto-fetched by the system.

Customer: This field allows the selection of the customer from the drop-down list.

Customer Name: This field is also auto-fetched by the system.

Customer Address: This field is also auto-fetched by the system.

Customer VAT/ Tax ID: This field is also auto-fetched by the system, otherwise can be entered manually.

Tax Exempted? This field is also auto-fetched by the system.

Reference Number: This field sets the reference number for this document.

Attention: This field sets the message or comment for the particular sales quotation.

Customer Reference: This field sets the reference for the supplier.

Payment Terms: This field sets the payment terms and conditions if any apply to the sales quotation.

Click on the Add New Item button as shown above.

Item Type: This field selects the item type from the drop-down list, like Inventory, service, and sales group.

Item code: This field selects the item code either from the drop-down list or a particular item code.

Quantity: This field sets the number of items to be selected. Unit: In front of quantity is the unit field.

Price: This field allows the selection of prices from the drop-down list. For example, the price channel is selected and in front of it, is the relevant price.

Currency Code: This field allows the selection of currency from the drop-down list. Currency Rate: This field fetched the currency rate as selected by the currency code.

Discount: Discount Rate: This field sets the percentage of the discount. Discount Amount: This field is calculated and auto-fetched by the system.

Click on the OK button to save the information.

Instruction Remarks: This field sets the instructions or guidelines comments.

Tax Group ID: This field allows the selection of the global tax if applicable.

Shipping Terms: This field sets the shipping terms and conditions for this sales quotation.

Document Upload: This button allows you to upload the scanned images of the invoice or any other relevant images or files.

You can choose the files of images and save the images by clicking on the OK button.

Once you have uploaded the document, click on the Save button at the top of the page to save the information.

 

Option-2: Addition of Items through Excel Sheet:

To add a new sales quotation, go to Inventory > Sales > Sales Quotation, the sales quotation page is displayed.

Click on the Manage icon at the top of the page.

Quotation Number: This field is auto-generated by the system.

Date: This field sets the date of the sales quotation.

Valid Upto: This field sets the validity of the sales quotation until the mentioned date.

Salesman: This field allows the selection of the salesman’s code from the drop-down list.

Salesman Name: This field is auto-fetched by the system.

Warehouse: This field allows the selection of the warehouse from the drop-down list.

Warehouse Name: This field is also auto-fetched by the system.

Customer: This field allows the selection of the customer from the drop-down list.

Customer Name: This field is also auto-fetched by the system.

Customer Address: This field is also auto-fetched by the system.

Customer VAT/ Tax ID: This field is also auto-fetched by the system, otherwise can be entered manually.

Tax Exempted? This field is also auto-fetched by the system.

Reference Number: This field sets the reference number for this document.

Attention: This field sets the message or comment for the particular sales quotation.

Customer Reference: This field sets the reference for the supplier.

Payment Terms: This field sets the payment terms and conditions if any apply to the sales quotation.

Click on the Download File button first.

Edit/add more items as per requirement in the Downloaded Excel Sheet.

Now save this downloaded file after editing on your desktop. Upload the same file by clicking on the Upload button.

Instruction Remarks: This field sets the instructions or guidelines comments.

Tax Group ID: This field allows the selection of the global tax if applicable.

Shipping Terms: This field sets the shipping terms and conditions for this purchase quotation.

Document Upload: This button allows you to upload the scanned images of the invoice or any other relevant images or files.

You can choose the files of images and save the images by clicking on the OK button.

Once you have uploaded the document, click on the Save button at the top of the page to save the information.

 

Updating the Sales Quotation

To edit/update a sales quotation, go to Inventory > Sales > Sales Quotation, the sales quotation page is displayed.

Select the desired row of the sales quotations.

There are four icons in front of each row that is Load, Edit, Print, and Delete.

You can update the information of the sales quotation and click on the Save button to save the information.

 

Deleting the Sales Quotation

To delete a sales quotation, go to Inventory > Sales > Sales Quotation, the sales quotation page is displayed.

Select the desired row from the list of sales quotations.

There are four icons in front of each row that is Load, Edit, Print, and Delete.

Click on the Delete (red) icon to delete the information.

Click on the Yes button to confirm the deletion.

 

Printing the Sales Quotation

To print a purchase quotation, go to Inventory > Purchase > Purchase Quotation, the purchase quotation page is displayed.

Select the desired row from the list of purchase quotations.

There are four icons in front of each row that is Load, Edit, Print, and Delete.

Click on the Print (green) icon to print the information.
